Learning & Engagement Project Coordinator

We are currently recruiting for a part-time L&E Project Coordinator to join our team on a permanent contract to start as soon as possible, 3 days/week (working day preferences to be discussed at interview).

Reporting to the Head of Learning & Engagement (L&E), you will be responsible for the administrative and practical support for a range of artistic initiatives across the L&E programme. These initiatives support participants to discover opera, co-create new work,  and develop their talent. They deliver new or innovative artistic outputs for the company as a whole, and develop the artistic capabilities of the company to reach out to broad audiences and underrepresented communities. Additionally, artists are supported to develop their ideas for new work.

The portfolio of projects is not fixed, and will change over time according to the needs of the organisation and the scope of the projects being delivered. You will also be closely involved in the day to day running of the department’s programme of work and its busy office (real or virtual).

The L&E Project Coordinator will work closely with all members of the L&E team and staff in other departments of the Company. Other key contacts include members of Glyndebourne performing companies and freelance artists, learning providers, partner organisations, community groups, members of the general public and some funding bodies. 

Key Tasks and Responsibilities

• Working with the L&E Project Managers to develop existing and new projects, which make imaginative use of the organisation’s resources and are in line with Glyndebourne’s artistic and strategic objectives.
• Contributing to identifying appropriate artistic teams for projects and supervising their work.
• Supporting the identification and recruitment of participant groups and working in collaboration with partner groups.
• Supporting the scheduling of projects and organising the relevant staffing and resources.
• Collaborating with Glyndebourne Technical departments to ensure effective planning of technical support for L&E projects.
• Supporting project managers to ensure effective planning for Health & Safety for all projects and events, including undertaking risk assessments where required.
• Attending project activity, and sometimes overseeing this activity where the Head of L&E, L&E Business and Operations Manager, or Project Managers consider it appropriate.
• Supporting the effective monitoring, evaluation and documentation of projects, including regular input and analysis of participation data.
• Daily use of the L&E database in Tessitura, with support from the L&E Office Coordinator, with a particular focus on GDPR compliance.

• Finance and Contracting
  • Monitoring project budgets as directed, ensuring strict financial control.
  • Ensuring that all projects within the portfolio reflect the company’s Safeguarding, Equal Opportunities and Data Protection policies.

• Communications
  • Supporting the effective promotion and communication of project activity through external and internal communication channels, including managing Wordfly email campaigns, and regular communications with participants.
  • Copywriting and proofreading of L&E communications.
  • Contributing to ensuring the organisation’s website is regularly updated with content.
  • Contributing to the maintenance of the organisation’s database systems including Tessitura.
  • Promoting the work of the department to artists, peer organisations, funders and opinion formers.
  • Where appropriate, representing Glyndebourne in respect of its L&E programmes and initiatives.

• Other Duties

The post-holder will play an active role in other aspects of the department’s work and undertake other duties as required, including:

• Collaborating in the general administration and management of the department in all aspects of its work, and in the efficient running of the office.
• Contributing to the strategic and artistic development of the department.
• Managing and maintaining relationships with partnership organisations.
• Any ad-hoc tasks reasonably requested by management.

Knowledge, Skills and Experience

Essential

• Awareness of and passion for arts education work across music, theatre and opera, and a commitment to enhancing its accessibility to a wide range of groups.
• Demonstrably excellent administrative and organisational skills.
• Proactive with a track record of real time problem-solving.
• Excellent written and verbal communication skills with an enthusiasm for communicating with a range of different groups.
• Awareness of current issues within the context of arts education.
• Ability to represent Glyndebourne in formal and informal situations.
• Team player with some experience of coordinating teams of people.
• Ability to deal with a diverse workload, work under pressure and manage multiple priorities, both short and long-term.
• Availability to work during evenings and at weekends and to travel according to the needs of the programme.
• Digitally literate with good knowledge of social media and digital learning.

Desirable

• Understanding of the Arts Award programme.
• Understanding of digital badging.
• Full driving licence and access to a vehicle.

Location

Glyndebourne is situated in Lewes, East Sussex. We believe that the Glyndebourne site and what we do here is central to our culture. However, we take a flexible approach to including an element of working from home. More details can be discussed at the interview.

Hours of Work

The hours of work are 21 per week worked over 3 days. You will be expected to work some evenings and weekends to meet the demands of the role.

We are offering a salary of £17,377.54 per annum (£28,962.57 FTE)
